Enable a Sage 300 user as a DML User in the System Tray
To enable functionality in Document Management Link , the logged on user needs to be set as a "DML User".
In the latest versions of Sage 300 and Information Manager, you setup DML Users in the Information Manager Licence screen, logged in as the Sage 300 ADMIN User. This is to support Notes and Document Management Link on the web screens.
In earlier versions of Sage 300 and Information Manager, you setup DML Users in the System Tray, logged in as each user.
In Sage 300 versions 2022 and above
Requirement! This applies to the latest Information Manager product updates for version 2022 and above (released October 2024).
Enable a Sage 300 user as a DML User
Upgrading from an earlier update of Information Manager
After upgrading from an earlier update, you need to add the DML Users in the License screen.
If a user was previously configured as a DML user in the Tray, they will be automatically added to the Information Manager License screen the first time they log on to Sage 300.
Prior versions - Setup DML User in the tray
To enable functionality in Document Management Link , the logged on user needs to be set as a "DML User".

In the System Tray, select the Orchid I/M Tray icon and drag it onto the taskbar. This makes ongoing support easier.

Click on the Tray Icon, select Options.

Tick "DML User" checkbox (or un-select if a user no longer requires the functionality)

Leave blank if not using SharePoint to store documents. If using SharePoint, enter the user's logon details.

Leave the details blank if using Multi-Factor Authentication and basic authentication is disabled. Users will be prompted to enter their details and follow the MFA prompts when they use the Tray.

If enabled in your site, you can also create an App Password for each user.

Save the tray

Restart the Sage desktop
Tip: ADMIN is automatically selected as an DML User.

DML User Licensing
DML User licences are issued on a concurrent basis. DML User licences are allocated on a 'first come, first served' basis, as users sign in to Sage 300, and are released when those users sign out.
Once the available licences have all been allocated, other users will see a 'No Available DML User' message.
A company has 20 Lanpak users and 10 DML Users.
15 users need regular access to documents and are flagged as DML Users. When the first 10 users logon to Sage 300, they consume all the DML licences.Tthe next 5 users will not have access to the documents, although they are flagged as a DML User.
