Using DML on the Web Screens

You can use Document Management Link (DML) to view and add documents on a shared network folder when using Sage 300 on the desktop screens or the web screens.

You can upload documents on the Desktop Screens and view them on the Web Screens or the other way round.

Note: Support for documents in SharePoint is not available on the Web Screens.

Requirement!

To enable Document Management Link functionality, the logged on user needs to be set as a DML User.

Viewing documents

If documents are configured and have been linked to Sage 300 records, you can view them in the Web Tray.

  • Use the icon in the Sage 300 web toolbar to open the Web Tray

  • Double click on any document to open it in the browser.

  • Right-click on a document to Rename or Delete or create a sub-folder

Note:

If you want to open the tray automatically, set the option to Show alert in I/M Options > Notes/DML/Extender Tray.

Uploading documents

You can either click the upload icon , or drag and drop files on to the Web Tray to upload files.

Using the upload icon

  1. Open the tray and click on the upload icon

  2. You can then browse to the source folder.

  3. Select a document and click Upload

This will copy the file to the folder configured in I/M Options for the selected screen.

The file will be renamed if you have configured values in the field in I/M Options.

Drag and Drop files

You can drag from File Explorer to the Web Tray.

  • Select one or multiple files

  • Drop the selected file/files in the grid displaying the documents

Tip:

When the files are ready to be dropped, the Web Tray displays a message.

Drag and Drop emails from Outlook

If using Outlook on a Windows workstation, you can drag an email and drop it into the Web Tray. The eml file is saved in the configured folder.

You can also use keyboard shortcuts or right click on the document list to upload new documents.

Keyboard shortcuts when using the Tray

You can click on the grid and press:

Insert - add a folder

F2 - rename a file or folder

Delete - delete file or folder

Enter - open folder / file

Displaying document properties

By default, the tray displays the document name and the date last modified.

You can right-click on the grid heading (Name) to show/hide the document size and show/hide the date modified.

 

Users can't view documents

If some or all users cannot view documents, there are some troubleshooting tips for the Web Tray:

  • The Orchid InfoManager Web Service needs to be running

  • The network user configured in the Orchid InfoManager Web Serviceneeds to have access to the configured folder.

  • Sage 300 logged on user needs to be set as a DML User

  • To enable Document Management Link functionality, the logged on user needs to be set as a DML User.
