Workflow Summary Log

This screen lets you view the workflow summary log, including users who started the workflow and date when the workflow was started. The workflow summary log shows one row for each time the workflow starts for a record.

To open the screen

Go to Extender Inquiries > Workflow Summary Log.

Security Group requirements

Users need View Workflow logs security group in Administrative Services.

What is included in the Summary log

Every time a workflow is started, an entry is made in the workflow summary log table. The latest step and latest workflow status are updated when the workflow progresses through the various steps.

  • If the is blank, it generally means the workflow is completed as there are no more steps to follow.

  • The workflow is updated when the SetStatus action is included in a workflow step as per the workflow template configuration.

  • The Description, template ID, View and View ID describe what the workflow is about

  • Clicking the Values button shows the values associated with this log entry.

Tip: On the desktop screen only, you can double-click on the Template name to open the workflow template screen if you have security rights to Edit Workflow setup. For details, Workflow Templates - Screen Guide

Viewing details

You can double click on columns in the Summary Log to open the Details Log screen.

Details are also available by using the Detail Log button for the selected entry.

Use the Values button on the Details Log to view values configured in the workflow for each step.

Filtering and sorting records

Using search criteria

You can filter the log by entering search criteria based on Workflow Templates, User assigned to the workflow, start date and record key.

Filtering on the grid

Use CTRL-F to filter by any columns on the grid.

Example: If you want to find all "AR Credit Limit" workflow steps, select the Template ID Column, CTRL-F, and select the Template you want to filter by. You can then add other filter criteria by selecting a new column and selecting CTRL-F again.

Use CTRL-F and Clear Filter to reset all filters to the default.

You can also use the Filter button.

File Menu to change Sort order.

Use the File Menu to change the Sort order, based on the workflow Start Date/Time.

  • Sort Oldest Record First
  • Sort Newest Record First

Filter button

Use the Filter button on the right hand side to add or clear a filter on the grid.

Refresh

Use the Refresh button to refresh the details on the screen.

For example, if new workflow have been started, progressed or completed since you opened the screen.

Drill Down

When configured in the workflow template, each workflow instance allows drilling down to a Sage 300 screen– for example, you could drill down to the customer, or to the order.

A workflow instance has a list of values associated with it – for example, a customer number or an order number. Drill down works on this list of values. Refer to details in Drilldown in workflow

Example:

If the workflow has a value called IDCUST then drill down to the AR Customer screen will be enabled for the workflow.

Detail Log

Use the Detail Log button to view details of previous actions on the workflow record selected on the console.

Refresh

Use the Refresh button to refresh the details on the screen.
