Workflow View Defaults

This screen is used to define default fields to use when configuring Workflow Rules used in workflow templates.

You can define only one default parameter list per view, for example for Purchase Orders Headers, for customers , vendors or for batches. The data is maintained manually. You can export and import records.

You can add friendly names for the fields commonly used in the workflow templates for the selected view.

Security rights required

Users need access to "Configure Workflow" to use this screen Sage Administrative Services > Extender security group

How to use

You can select a view using the Finder on the right (or use the F6 key).

Change the view description if required.

Views

All views composed with the selected views are included.

For example, when you add the ARCUS (Customers) view, the ARCUSO (Customer optional fields) view is automatically added to the list.

You can change the description.

Optional Fields

You can add the optional fields you want to use in Workflow View Defaults to simplify the data entry on the Workflow Rules.

Select Header/Entry Optional Field, and select the Optional Field linked to the record. The optional field description is the default friendly name. You can update it.

The field is then available when using the Finder /F5 in the Workflow Rules: Conditions (How) setup screen.

Example:

If you have an optional field called UPSZONE configured for A/R Customers in A/R Setup, you can add the UPSZONE optional field for the ARCUS View.

The field is then available when using the Finder /F5 in the Workflow Rules screen.

Note: If you don't want to see the optional fields when defining the Workflow Rules, you can remove the Optional Fields view.

Default Report

Use this tab to include a custom report to use in the Workflow Rules and Workflow Templates.

Default Rules Fields

Extender includes default fields that are commonly used in Workflow Rules.

You can add other fields or change the friendly name displayed in the Workflow Rules.
