EFT Print T4As

The EFT Print T4As screen lets you email T4As to employees configured in EFT Processing. The form uses the same report as when printing from the Canadian Payroll > Payroll Government Report Screen.

Before you start

  • Install the latest C/P Payroll product update from Sage.

  • Select the Crystal report form in EFT Options > Default Advice Tab. EFT Options - Default Advice Tab

  • Customize the report: When generating a T4A PDF for emailing to Employees, the standard CTT4A.rpt Crystal Report file has a summary page. Many users like to amend the report to suppress the summary page. Detailed steps are available to Sage partners on the Orchid knowledge base.

Tip: If you customize the Sage 300 report, you need to redo the customizations based on the latest Sage Crystal report everytime Sage issues a new form.

Test the process

It is important to test the process (report and email) thoroughly to ensure employees do not receive confidential information.

  • Change the email address for a range of employees to your own email address so you can check the emails.

  • Run the Print T4A process for the range of employees above

  • Check the email message and attached PDF

  • Reimport the correct email addresses for the range of employees.

To email Employee’s Payroll T4As

  • Use Report: defaults to the report selected on EFT Options > Default Advice tab
  • Select the email Message ID for the template subject and body of the email
  • Select the required Year.
  • Select the required range for Employees
  • Click “Print”.

All employees in the range selected will be emailed the T4A report if there has been activity in the selected year. 

  • The email address used is determined by the EFT Employee Delivery method and email address. 

  • The PDF will be attached to the email, the body and subject of the email is based on the required “Message ID”

To add a password to the PDF

Select in EFT Options > Payroll Tab and enter the password formula. The PDF attached to the email will be password protected if you send emails with the SMTP configuration in EFT Options.

Troubleshooting and validation

If you have configured the EFT Employee's Delivery Method to "EFT Email" and you do not have an email address entered on the EFT Employee's record, you will now receive an error message :

"Employee abc does not have an EFT email address. No email will be sent."

If you have configured EFT Employee's Delivery Method to "EFT Email" or "Payroll Email", but there are no earnings details for the entered pay year, you will now receive a warning message:

"employee abc does not have activity for current year."
