Add Restocking Fees with RMA

You can automatically add restocking fees to an RMA if required.  Restocking fees can either be a fixed percent, or a percentage of the RMA itself.

Steps to configure Automatic restocking fees,

Step 1. Create an OE Miscellaneous Charge Code

  • If the Restocking Fee is a fixed amount, enter the amount on the OE Miscellaneous Charge Code.

Note: This restocking fee detail line will be automatically added to the OE Credit Note, and should therefore be a negative value to reduce the value of the credit note issued.

  • If the Restocking Fee is a percentage of the RMA, leave the amount on the OE Miscellaneous Charge Code as zero.

Step 2. Create an RMA Template

The RMA Template will be used for all RMA that are subject to restocking fees. It can be set as a default in RMA options or you can select a RMA per customer.

  1. Turn on the option "Automatic Item Restocking Charge"

  2. Select the "Restocking Misc. Charge Code".  (HC in the screenshot below)

  3. If the restocking Fee is a percentage of the total RMA, enter the percentage on the template. (10% in the screenshot below)

  4. Leave the percentage as 0 to use the fixed amount entered on the OE Miscellaneous Charge Code.

  5. On the RMA Miscellaneous Tab, select .

Step 3. Create an RMA and Calculate Restock Fee

When you create a new RMA using this template code, a Miscellaneous charge code will be automatically added to the RMA with the configured Miscellaneous Charge Code.

  • The Miscellaneous charge code detail line will be auto inserted onto the RMA

  • The Value will default to the OE Miscellaneous Charge Code value if using a fixed amount

  • The value will be calculated when you click the "Recalculate Restocking Fee" button on the RMA.

Note: Once the RMA has been flagged as complete you will not be able to select the "Recalculate Restocking Fee".

Example

Step 1: Create a new RMA with the template code including Restocking Fees

  1. Apply the Template Code RET to the RMA

  2. The Miscellaneous Charge Code will be automatically added to the RMA - with the default Extended Price if using a fixed fee.

  3. Or click "Calculate Restock Fee" to calculated the Extended Price once the RMA Items have been added to the RMA.

    1. This option can be clicked multiple times, and the amount will be recalculated each time the option is selected.

    2. Ensure the RMA is not flagged as "complete" when you want to calculate the restocking fee as a percentage of the RMA.

Step 2: Check the RMA Line

Before you select "Generate CN", ensure the Miscellaneous Charge Code option "Put Item Misc. Code on Credit Note" is selected.  Note : this can be set as a default selection on the original Template Code.

Step 3: Generate Credit Note

When you click "Generate CN", all RMA Item/Misc Charge codes lines flagged as "Put Item Misc. on Credit Note" will be put on the generated Credit Note.  Because the Restocking Fee is negative, it will reduce the value of the associated Credit Note.
