Extender security and workflow users

Users configured as workflow users in the Extender Licence screen can view the records they are assigned to or records assigned to a group they are in.

There is no special Sage 300 Security requirements.

A Workflow User license is required for each user who needs to access Extender Workflow functionality to approve and progress workflow.

Sage 300 security requirements

Users who approve need to have Read/Write access in Sage 300 security > Administrative Services to the record type they approve.

For example, to approve a customer credit limit workflow, the user needs to have Read/Write access in Sage 300 security > Administrative Services.

If you get an "Attempt to perform Record Read without security authorization" when progressing the workflow, it is likely because the Sage 300 user doesn't have the required Sage 300 security rights.

The workflow step may partially complete, but emails and chat notifications may not be sent, or the {NAMECUST} placeholder is not replaced. You will also see an Error in workflow log- workflow not associated with a view (because of security restrictions).

The security groups below in Sage 300 Administrative Services apply to using workflow features.

Security Group Description
   
View All Workflows User can view all workflow instances in the Console (whether they are assigned to it or not).
Modify All Workflows

User can reassign workflows. This is required to use the default Reassign Action or the Delete button on the Workflow Console, even if the workflow is assigned to the user.

User can progress all workflows, even when not assigned to a workflow.

View Workflow Logs User can view the workflow logs for all workflows using Workflow Inquiry screens.

Configure Workflow

Configure Workflow templates and related entities in Extender Setup.

You have read/write access to Workflow Templates, User Groups, Workflow Colours, Workflow View Defaults and Workflow Rules.

Access Setup Screens

Access to all setup screens, including Custom Tables and configuring Email Messages. This is often combined with the Configure Workflow security group above for users who need to configure workflow templates.

Configure Workflow Rules

This security group is for users who need to configure the business rules for workflow approvals and notifications.

Read/write access to Workflow Rules (VI1019), User Groups, Workflow Colours, and Message Templates (VI1004)
